Privacy Policy

This Privacy Policy explains what Island Clinical Supervision LLC ("ICS", "we") collects through the member platform at app.islandclinicalsupervision.com, who can see it, and how it is used and protected. We wrote it to be read. Last updated: July 2026. 1. WHAT WE COLLECT - Account and profile: name, email, phone (optional, for reminders), pronouns (optional), photo (optional), licensure track and tier, and your matching preferences. - Supervision records: session dates, durations, formats, participants, attendance, general session content, supervision hours you log, prior-hours credit, supervisor sign-offs, and your signed agreements with their versions and timestamps. - Billing: your membership tier and payment status. Card numbers are collected and stored by Stripe, our payment processor; ICS never sees or stores your full card number. - Supervisors additionally: credentials, license number and verification dates, public bio, availability windows, calendar busy times (times only, never event details), and payout account status (bank and tax details are collected and stored by Stripe, not ICS). - Technical basics: sign-in records and security logs, and the website analytics and advertising measurement described in section 8. We keep your name, email, and anything about your supervision, health, or billing out of those measurement tools. 2. WHAT WE DELIBERATELY DO NOT COLLECT The App is not a clinical record system. Do not enter client-identifying clinical information; session records are kept general. Supervision records are handled to HIPAA and 42 CFR confidentiality standards as stated in the Supervisee Services Agreement. 3. WHO CAN SEE WHAT (NEED-TO-KNOW ACCESS) - You can see your own information, always. - Your matched supervisor sees the parts of your profile and records needed to supervise you: your name, contact, track, tier, session history with them, and your hour log for sign-off. Supervisors never see other supervisors' members. - Other members never see your profile. In group sessions, other participants see only what a group session inherently shows (your name and presence), and the roster list is hidden unless ICS turns it on. - Supervisor public directory pages show only fields the supervisor and ICS both approved: photo, name, title, credentials, tracks, specialties, and bio. - ICS administrators can access records across the platform to run the service; every administrative change to someone else's record is written to an audit log. - Nobody is shown a supervisor's real calendar. Members only ever see approved open slots. These rules are enforced in the database itself, not just in the interface. 4. SERVICES THAT PROCESS DATA FOR US We use a small set of service providers, each only for its job: Supabase (database, login, and file storage), Vercel (website hosting), Stripe (payments, payouts, and tax forms), Resend (transactional email), Zoom (video sessions on the ICS account), and, if a supervisor connects a calendar, Google or the supervisor's calendar provider (busy times only, and calendar event creation for confirmed sessions). If AI bio drafting is enabled, the facts a supervisor submits for their bio are processed by Anthropic to produce a draft the supervisor reviews and approves. We do not sell personal information, and we do not share it with advertisers. The analytics and advertising measurement we use is described in section 8. 5. HOW LONG WE KEEP IT We keep supervision records for as long as needed to support your licensure verification and to meet professional record-keeping obligations, and account data for as long as your account exists. When you cancel, your hours record stays available to you read-only. You may request a copy or deletion of your personal data (section 7). 6. SECURITY Data is encrypted in transit and at rest. Access follows the need-to-know rules above. Administrator accounts support two-factor login. Payment credentials live with Stripe, not with us. Daily backups protect against loss. No system is perfectly secure, but privacy is a design priority of this platform, not an afterthought. 7. YOUR CHOICES AND RIGHTS - Update your profile and notification preferences in the App at any time. - Email reminders about your own sessions are part of the service; the marketing email list is optional and opt-in. - Ask us at hello@islandclinicalsupervision.com for a copy of your personal data, or for deletion. We will honor deletion requests except where records must be retained for licensure verification, legal, tax, or professional obligations, and we will tell you what was retained and why. 8. ANALYTICS AND ADVERTISING We use measurement tools on our website so we can understand how people find us, see which pages are useful, and improve the experience. We do not send your name, email, or any information about your clinical supervision to these tools. They measure website activity in the aggregate. Website analytics. We use privacy focused website analytics to count page views and understand general traffic patterns. This tool does not use tracking cookies. Google Analytics. We use Google Analytics to understand which pages people visit and where they leave a process such as signup, so we can make the site clearer. This may set cookies. We configure it so that personal details you enter are not passed to Google. Google Ads measurement. When we run Google search ads, we use Google's advertising tag to see whether an ad led to a signup and to manage how often our ads appear. This may set cookies and share limited technical information, such as your browser type and the page you visited, with Google. Enhanced Conversions. To improve the accuracy of ad measurement, we may send Google a scrambled, unreadable version of an email address that a person voluntarily enters when starting a membership. This is one way, meaning it cannot be turned back into the original email, and it is used only to match an ad click to a signup. Your choices. You can control or block cookies through your browser settings. You can opt out of Google's advertising personalization at myadcenter.google.com and adssettings.google.com, and you can install Google's Analytics opt out browser add on. Blocking these tools does not affect your ability to use our services. 9. CHILDREN The App is for adults pursuing or providing clinical supervision and is not directed to anyone under 18. 10. CHANGES If we make material changes to this policy we will notify you by email or in the App at least 30 days before they take effect. 11.
